Studio Terms & Conditions

1. Definitions

  • The Studio: refers to POAST Studio, the photography, production, and event studio located at Northlands Decopark, Northriding.
  • Client / Hirer: The individual or company booking the Studio.
  • Booking: The confirmed reservation of the Studio for a specified date and time.
  • Equipment: Any lighting, props, furniture, backdrops, or other items belonging to the Studio.

2. Bookings

  • All bookings must be confirmed in writing via email, invoice, or booking form.
  • A booking is only confirmed once the full payment has been received.
  • Bookings are allocated on a first‑come, first‑served basis.
  • Setup, breakdown, and cleaning must be completed within the booked time slot.
  • Late departures will incur additional hourly charges. Overtime will be charged at an additional R500 per hour on private use and R1 500 on commercial use bookings, which will begin 15 minutes after the booking time has lapsed.

3. Payment Terms

  • A non-refundable 50% booking deposit is required to secure the date.
  • The remaining balance must be paid 48 hours prior to the date of the booking.
  • POAST reserves the right to withhold access or services until payment is received in full.
  • All payments must be made via EFT and proof of payments to be sent to studio@poast.co
  • Overtime payments must be paid in full using a debit or credit card before leaving the premises on the shoot day.

4. Security / Damage Deposit

  • A refundable damage deposit may be required prior to the booking.
  • The Client is responsible for any loss, theft, or damage to equipment, furniture, or the studio premises during their booking.
  • POAST reserves the right to deduct repair or replacement costs from the deposit.
  • Where damages exceed the deposit amount, the Client remains liable for the full repair or replacement cost.
  • Deposits will be released 7 working days after the even has taken place

5. Cancellation & Rescheduling

  • A 50% cancellation fee will be charged if the booking is cancelled 7 Days prior to the confirmed booking date.
  • Full forfeiture of payment will apply if cancellation is made within 6 days of the confirmed booking date should a new date not be rescheduled.
  • The Studio reserves the right to cancel a booking due to unforeseen circumstances, in which case a full refund or reschedule will be offered.

6. Use of the Studio

  • The Studio may be used for photography, videography, content creation, workshops, and small events subject to capacity limits.
  • The Client agrees not to use the Studio for illegal activities or activities that may damage the studio’s reputation.
  • Dangerous or hazardous activities are not permitted.
  • Maximum occupancy limits must be respected.

7. Equipment & Props

  • All equipment must be handled with care.
  • Only trained personnel should operate lighting and technical equipment.
  • Equipment may not be removed from the premises without written permission.
  • Props must be returned to their original position after use.
  • The Client will be liable to pay for usage of studio backdrops of R350 per meter used on the floor or damaged by means of stains, tearing and the like.

8. Studio Rules

  • No smoking inside the studio.
  • No open flames.
  • Food and drinks only in designated areas.
  • No standing on furniture or equipment.
  • Children must be supervised at all times.
  • Clients are not permitted in areas specifically marked for staff only use.
  • Failure to follow studio rules may result in immediate termination of the booking.

9. Cleaning & Waste

  • The Client must leave the Studio in the same condition as it was found.
  • Excessive cleaning or waste removal may incur additional fees.
  • Any decorations, set builds, or installations must be removed before the end of the booking, and all damage by installations are to be for the client’s account. Repairs are to take place within 7 working days.

10. Liability

  • The Client uses the Studio at their own risk.
  • POAST PTY LTD shall not be held liable for injury to persons using the Studio.
  • POAST PTY LTD shall not be held liable for loss or damage to personal equipment.
  • POAST PTY LTD shall not be held liable for technical failures beyond reasonable control.
  • The Client agrees to indemnify the Studio against any claims arising from their use of the premises.

11. Insurance

  • Clients are responsible for insuring their own equipment, crew, and production.
  • The Studio is not responsible for any loss or damage to client property.
  • Clients are responsible for the hiring of any additional security required.

12. Photography & Marketing

  • The Studio reserves the right to photograph the studio setup or behind-the-scenes content for promotional purposes unless the Client requests confidentiality in writing.

13. Force Majeure

  • The Studio shall not be liable for cancellations caused by events beyond reasonable control including power outages, natural disasters, government restrictions, or security incidents.

14. Governing Law

  • This agreement is governed by the laws of the Republic of South Africa.
  • Any disputes shall be resolved under South African law.

15. Acceptance

  • By making a booking or using the Studio, the Client confirms that they have read, understood, and agreed to these Terms and Conditions.
